Guest Policies

General Terms and Conditions

  • The primary guest must be at least 21 years of age to be able to check into the hotel.
  • It is mandatory for guests to present valid government issued photo identification at the time of check-in. According to government regulations, a valid Photo ID must be carried by every person above the age of 18 staying at the hotel. Accepted identifications are: drivers license or passport. Without original copy of valid ID, the guest will not be allowed to check-in.
  • Pet Policy varies by property. Registered service animals are allowed at the property.
  • A refundable security deposit (depending upon the hotel) will be required at the time of check-in made in the form of a credit card authorization or cash. For Apartments, this amount will be taken no later than 8 hours prior to check-in time. Guests shall be liable for any damage caused to the room/property/apartment during their stay. Guest shall keep the Hotel room/apartment in a good condition and maintain hygiene and cleanliness. Damage deposits and authorizations will be released back to credit card companies, banks or cash to the individual. For Hotels, this amount will be released at the time of checkout upon validation of room condition. For Apartments, this amount will be refunded within 7 business days from the date of checkout.
  • Smoking is only permitted in designated smoking rooms and/or smoking areas within property premises. A damage fee will be automatically charged for failure to adhere to this policy.
  • By providing your cell phone/mobile phone number, you expressly consent to be contacted by STAY LINK, our agents, representatives, affiliates, or anyone calling on our behalf for any and all purposes arising out of or relating to your reservation. You agree that we may contact you in any way, including SMS messages (including text messages), calls using prerecorded messages or artificial voice, and calls and messages delivered using auto telephone dialing system or an automatic texting system
  • Guests may be contacted closer to their check-in date to confirm the arrival status or arrival time through calls or messages. In case, we do not receive a response from the guest after multiple attempts, the booking may be put on hold or cancelled. In case of availability, STAY LINK will try to reinstate your booking when you contact us back or make a payment through our multitude of payment options.

Booking Extension Policy

  • Hotels: Extensions of stay may be provided on currently published room rates, subject to availability.
  • Apartments: Same-unit extensions cannot be guaranteed. To prolong your stay, please make a new reservations at the same property, subject to availability

Cancellation Policy

Cancelling an STAY LINK is as fast and easy as booking one.

We would love to host you but in case your plans change, our simple cancellation process makes sure you receive a quick confirmation and fast refunds. The following cancellation policy shall apply:

1. Cancel after 9 AM on the date of check-in: the total cost of the booking will be charged.

2. If you do not check-in on your scheduled day of arrival (“No Show”) you will be subject to entire room charges, taxes, and fees for the stay.

3. Reductions in the length of stay should be made before Check In. If a request to reduce the length of stay is made after Check In, the guest will be charged for the next 24 hours after the official cancellation request is made. The amount for the remaining nights will be refunded.

How to Cancel: You can cancel your booking on any of our platforms

The applicable refund amount will be credited to you within 7-14 business days. STAY LINK reserves the right to debit from STAY LINK Money account, in case of cancellation amount being higher than money already paid by customer.

Payment Policy

For bookings of more than 7 nights, guests have to settle all outstanding payments on a weekly basis. Hotel will be unable to provide further accommodation prior to settlement of the outstanding amount.

Check-in and Check-out Policy

Early Check-in​ (subject to availability):

Early check-ins will be subject to availability. Our standard check-in time is 3 PM for Hotels & 4 PM for Apartments. A check-in between 6 AM and 2 PM will be considered as early check-in. Extra charges will apply as per hotel policy, which vary from hotel to hotel.

Late Check-out ​(subject to availability):

Our standard check-out time is 11 AM. A checkout between 12 PM and 6 PM will be considered as late checkout. Late check-out is subject to availability and cannot be confirmed in advance. Extra charges will apply as per hotel policy, which vary from hotel to hotel.

Hotel Specific Policies

  • Hotel specific amenities are captured on the website and the app. Guests are advised to refer the same while booking.
  • Hotels in cooler areas may not have air conditioning due to weather conditions of the location.
  • Hotels in remote locations may not have Wi-Fi connectivity due to unavailability of network in those regions.
  • Some hotels may deny entry of visitors to rooms. Please confirm with the hotel before inviting visitors into the rooms.
  • Hotels reserve the right to admission and may deny admission to guests who are intoxicated, misbehave with staff, etc.

It also explains rights available under applicable law and how to contact us if you have questions about how we use your information.

Scope of our privacy notice

This notice applies to anyone who interacts with us in relation to our products and services (“you”, “your”), via any channel (e.g. app, website, email, phone, walk-ins to STAY LINK-branded accommodations, booking an STAY LINK-branded accommodation via a third party travel agency, etc.). We may give you additional privacy notices if required for specific interactions.

If you book a stay through us at one of our partners’ guest houses, hotels and other lodgings (i.e. you stay at a property that is not STAY LINK-branded), that partner will use your personal data as shown in their privacy notice.

Ways in which we obtain personal information

We obtain personal information from you and from travel agents and others who book accommodation for you.

Where you provide us with information about other individuals (e.g. the names of others who you will stay at the accommodation you book), you must ensure that they have seen a copy of this privacy policy and are comfortable with you doing this.

Categories of personal information

We process two categories of personal information about you and/or, where applicable, others whom you have booked accommodation for, namely:

a. standard personal information (e.g. information we use to contact you, identify you or manage our relationship with you); and

b. special categories of information as defined by applicable law (e.g. if you have indicated a halal or kosher food preference or have chosen to let us know that you have a medical condition requiring special accommodations).

Purposes and lawful grounds of our processing personal information

We process your personal information for the purposes set out in this notice, based on the legal grounds set out under the Read More text. Different legal grounds apply depending on what category of personal information we process. Standard personal information is normally processed by us on the basis that it is necessary for the performance of a contract, our or a third parties’ legitimate interests or law. Further information about this and special category processing grounds is set out below.

Legitimate interests

We process your personal information for a number of legitimate interests, including providing you with services, administering our relationship with you, for marketing and service/product improvement purposes and in order to exercise our rights or handle claims. More detailed information about our legitimate interests is set out below.

Marketing and Preferences

We may use your personal information to send you marketing by post, telephone, social media platforms, email, SMS, application notifications and silent notifications to track installation status of the application. We may also use your personal information to carry out online paid marketing activities in the nature of retargeting.

We also use technology to help us understand your personal preferences and interests so that we can send recommendations and marketing communications that are likely to be of more interest to you.

If you wish to unsubscribe from emails sent by us, you can do so at any time by clicking on the “unsubscribe” link that appears in all emails and by adjusting the settings on your device to turn off notifications from our app. Otherwise, you can always contact us at info@staylink.com to update your contact preferences. Cookies and Other Tracking Technologies

We and our service providers use cookies and other tracking technologies to track information about your use of our websites and mobile application. For more information about our use of cookies, please see our Cookie statement.

Do-Not-Track

Currently, our systems do not recognize browser do-not-track signals. You may disable tracking on the website by following the steps in the Cookie Statement or on the service provider’s own website.

Analytics and Advertising Services Provided by Others

Service providers provide us with audience measurement and analytics services that analyse your online interactions (both with the STAY LINK and other websites), serve you with tailored marketing and report on the performance of that marketing. We also use Google Place API to make suggestions based on your location or search strings

Sharing your information

We share your information within the STAY LINK Group and with others who help us provide services to you (e.g. your accommodation provider). We also share your information in accordance with the law. For more information on who we share your information with, please expand this section.

We share your information for the purposes set out in this privacy policy, with the following categories of recipients:

a. other members of the STAY LINK Group;

b. with accommodation managers to enable them to provide the services you request, e.g. we share your name and expected check-in time;

c. service providers who help deliver products or services on our behalf, entities who have partnered with STAY LINK in connection with services or a relevant promotional offering, as well as other apps or websites that integrate with our API or Services, or those with an API or Service with which we integrate;

d. your contact if you use a referral feature;

e. the general public, if you submit content in a public forum, such as blog comments, social media posts, or other features of our services that are obviously viewable by the general public. For example, you may choose to use social sharing features and related tools which let you share your STAY LINK experience with other apps, sites, or media, and vice versa. Your use of these features enables the sharing of information with your friends or the public, depending on your social sharing service settings. Please refer to the privacy policies of those social sharing services for more information about how they handle the data you provide to or share through them;

f. entities where we have a duty to or are permitted to disclose your personal information by law (e.g. law enforcement officials, government authorities);

g. with the police in the exercise of their functions or with others as required by a court order;

h. other entities where we (or any member(s) of the STAY LINK Group) sell or buy any business or assets, in which case we may disclose your personal data to the prospective seller or buyer of such business or assets;

i. entities in connection with any merger, sale of company assets, consolidation or restructuring, financing, or acquisition of all or a portion of the STAY LINK Group’s business, in which case personal data held by it about its customers or visitors to the website may be one of the transferred assets.

Where we share your personal information, appropriate protections will be in place to protect your personal information as required by data protection laws. Sometimes, we may share information in an aggregated, pseudonymised and/or anonymised form which cannot reasonably be used to identify an individual.

Additional Information for European Union Individuals

The following sections provide additional information for individuals in the European Union or European Economic Area about our processing of their personal information.

Transfers outside of your country

STAY LINK uses global information systems. As a result, STAY LINK transfers your personal information to a country outside of your country and the European Economic Area (“EEA”, i.e. EU member states including Norway, Liechtenstein and Iceland) to India and Singapore for the purposes set out in this policy. Not all countries outside of the EEA have data protection laws that are similar to those in the EEA and they may not be regarded by the European Commission as providing an adequate level of data protection.

STAY LINK takes steps to ensure that when your personal information is transferred internationally, it is subject to appropriate safeguards in accordance with data protection laws. Retention period

We retain your personal information in accordance with STAY LINK’s records retention policies. However, there may be circumstances that mean we must retain your personal information for longer (e.g. if you make a claim in relation to a booking).

Data protection laws in the EEA and some other countries provide EEA individuals with rights in relation to the information that STAY LINK holds about them on some computer and paper records. These include rights to access, correct, delete, restrict the use of, object to the use of, port to another person, and withdraw consent to the use of, your information. Exceptions may apply to these rights.
